How do I know if I'm undercharging for my professional services?
The clearest signals are: clients accepting your rate immediately without any negotiation (the price may be too low); difficulty filling your schedule even at your current rate; rates that haven’t increased in 12+ months while your experience and client outcomes have grown; or rates that are significantly below the benchmarks in this template for your service type and experience level. If two or more of these apply, a rate review is overdue.
When should I move from hourly billing to fixed-fee or retainer pricing?
Move to fixed-fee when you can reliably estimate project scope and duration — it rewards your efficiency and removes client anxiety about running over budget. Move to retainer billing when you provide ongoing, predictable services to the same clients each month — it provides you with predictable income and reduces re-selling costs. Keep hourly billing for variable-scope work where the time required genuinely cannot be estimated upfront.
How much should I increase my rates and how often?
A 5–15% annual rate increase is standard for professional service providers in growing markets. The amount should reflect your increased experience, any new qualifications or specialisations, CPI increases, and market benchmark movement. Give existing clients 30 days’ notice. Frame the increase as a reflection of your growing expertise and the outcomes you deliver — not as a cost-of-living adjustment.
What is the 2025-26 WFH fixed rate and what does it cover?
For the current financial year, the instant asset write-off allows eligible sole traders to deduct the full cost of new business assets up to $20,000 in the year of purchase (rather than depreciating over multiple years). Eligible assets include production equipment, photography equipment, and tools used primarily for business. Check current ATO guidance and your individual eligibility with a registered tax agent before applying this to your return.
